Organising is the combination of several resources like human, physical and financial to perform a proper management of a building. Well-maintained buildings are the buildings which are retained in a good and proper condition. To make sure a building is well maintained, the structure of maintenance body must be organised properly. There are several factors need to be considered in organising a maintenance work such as the size of business, objectives, structure of the organisation, culture of organisation and the range of responsibility assigned to maintenance. In order to create a well organised maintenance work, there are several aspects in organising a maintenance work for a building can be done. First, organise work specialisation. Work specialisation can be defined as organisational structure which determines or divided the specific work to be done by specific individual or groups by dividing the members of building management body into various units and departments. Through work specialisation, the work will run smoothly, save cost, save time and human power saving. Second, well defined jobs and clarify authority by placing the right men on the right job at the right time in a maintenance work. To make it more efficient, the works can be done by selecting the workers for various departments according to their qualifications, skills and experience which can helps the property manager in defining the jobs properly by clarifying the role of every person. Due to this action, the task to be done by the maintenance body more clear and can be understand properly. Third, coordination of the organisation structures. Coordination can be defined as the synchronisation and integration of activities, responsibilities and command and control structures in order to make sure the resources used in works are used most efficiently to achieve the specified objectives. Coordination is the manner where various groups of workers conducted by only one manager. The command which are been received from the single leader can easily be understand by the maintenance members. Last, the effective administration of the maintenance body. Administration plays the main role in every organisation. The admin in management of building will determine the jobs to be done by the maintenance members to make sure the effectiveness in works. Low quality in administration will not be able to encourage maintenance members to do the best in their jobs. Clearly, in order to organise a well maintenance work for a building, there are several aspects to be highlighted.

INTRODUCTION

Organising is the combination of several resources like human, physical and financial to perform a proper management of a building (Haroun & Duffuaa, 2012). The lack of any one aspects of the combination may results the works harder. It is one of the functions of management which follows planning and followed by other functions. Organising is a function to determine the position of roles, related works and coordinating between power and responsibilities (Barnard, 2008). The other management functions are controlling, leading and staffing. Organising is very important since it will lead to an efficient management of a building. The manager of the maintenance body plays the main role to organise such good property maintenance. Without a proper organising by the manager, the management works may not be done effectively and efficiently.

In organising a building maintenance work, there are several factors need to be considered. The factors are type of the business, objectives, size and structure of the organisation, culture of organisation and the range of responsibility assigned to maintenance (Haroun & Duffuaa, 2012). The business type needs to be considered to know the technology, labour intensive and production from the business. Due to the business type, the maintenance work can be organised properly according to the type of business (Haroun & Duffuaa, 2012).

In creating the structure of organising property maintenance, the manager must set the tasks. Setting task is the work where the task to do be structured and then dividing up the works to all workers. Besides, the resources also need to be arranged to form maintenance crews. The sources need to be used efficiently and effectively to make sure the use of the limited resources can be minimised. In organising a well maintenance work, the activities of maintenance need to be coordinated to perform a maintenance tasks (Haroun & Duffuaa, 2012).

ORGANISING A WELL BUILDING MAINTENANCE WORK

In order to create a well organised maintenance work, there are several aspects in organising a maintenance work for a building can be done.

Work Specialisation

Work specialisation is an organisational structure which determines the specific work to be done by specific individual or groups. It is been done by dividing the members of building management body into various units and departments (Barnard, 2008). The works are been done by the group or individual who have been instructed to do such job. According to Rahul Parab, a Financial Analyst from Mumbai University, there are six elements that need to be addressed in organising and work specialisation is one of them. The other elements are departmentalisation chain of command, span of control, centralisation and decentralisation and formalisation (Parab, 2010).

Through specialisation of work, the management of a building will run smooth and efficient since the works will be specialised according to the expertise with the type of works. Through this action, the time needed can be minimised because the works done by the experts. The familiar works will be the small matter by the property manager. The works will be done faster as more than one works can be done by different workers at the same time. The quality of works will also be at the maximum level since the workers can pay full concentration on the specific works and no need to think the other jobs at the same time. The other problem may arise if the workers need to do the other jobs at the same time, they cannot give full focus to the jobs because of thinking that unsettled jobs.

Through work specialisation, the head manager wills extent the powers and rights to the other managers of each department according to the order called hierarchy. Through this manner, it will help to avoid the wastage of time, money and human power (Guide, 2012).

Well Defined Jobs and Clarifies Authority

Organising a well maintenance work will lead a building manager to place the right men on the right job at the right time in a maintenance work. The works can be done by selecting the workers for various departments according to their qualifications, skills and experience which can helps the property manager in defining the jobs properly by clarifying the role of every person (Guide, 2012). Property manager have to define the jobs clearly to the workers in order to organise a well maintenance work. Without a clear understanding by the workers, the maintenance work cannot be done well. A well defined job is very needed by the workers especially by the workers who are lack of experience.

It is very important for the property manager to put the right workers on the right job at the right time to make sure the works can be done successfully. The right workers on the right job will ensure the jobs can be done faster since it is been done by an experts. It is no need for the manager to put the workers at the working place if the time is unnecessary because it is such a wasting need. For example, the workers are not needed for the repairing work of a building if the equipments needed are not enough.

Coordination

Coordination can be defined as the synchronisation and integration of activities, responsibilities and command and control structures in order to make sure the resources used in works are used most efficiently to achieve the specified objectives (Dictionary.com, 2012). Coordination can also be defined as the unification, integration, synchronisation of the efforts of the group members in order to provide unity of action to achieve common goals (Guide, Definition of Coordination, 2012). Coordination is orderly arrangement of group efforts in order to serve unity of the action to achieve goals (Reelay & Mooney, 2012) . Coordination can also be defined as the integration of several small parts into one big part in order to achieve purpose of understanding (Worth, 2012). From the various definitions, it can be concluded that coordination is the manner where various groups of workers conducted by only one manager. Through coordination, there will be no misunderstanding regarding the different command given by more than one leader.

In the maintenance work, some maintenance body conducted by more than one leader. The problem may arise when those managers give the different command to the workers. Coordination will result to a well organised maintenance work since the skills and experience by individuals will be gathered together with the other worker’s skill and experience. Coordination can be done through many aspects like coordination through planning, organising, staffing, directing and controlling (Guide, Definition of Coordination, 2012).

Effective Administration

A well organising maintenance is very helpful in defining the jobs positions. Effective administration will define the different roles of managers and the roles will be clarified. Effective administration will be achieved by division of works to the various groups of workers. In organising well maintenance work, effective administration is been done by the property managers and the management organisation. Administration of the maintenance body must be in proper and good manner.

CONCLUSION

As the conclusion, organising a well maintenance work is very important to make sure the property will be well maintained. Without a good manager in organising property maintenance, the works of maintenance by the management body will be in low quality and at the same time will affect the growth of the organisation. In organising, there are several aspects must be highlighted. There are, work specialisation, well defined jobs and clarifies authority, coordination in works and effective administration of the organisation. A well maintenance of a property will increase the trust among client to appoint that management body to maintain their property.

Work specialisation will ensure the maintenance job become easy and faster if compared to the maintenance which is not using this manner and the management company in Malaysia is recommended to use this method of maintenance. Well defined jobs are the instruction given by the property manager to the members on how to do their jobs in the correct and clearly to the workers. Through this manner, the probability of misunderstanding on the task will be prevented to make sure the members of maintenance do their work correctly. Coordination allows the different workers in a company to work together and it will give the high impact to the work through skills and experience sharing by the different members. The skills and expertise of the maintenance members to each other may be different and this manner will gather the various skills to create a powerful group. Effective administration also plays the main role in order to organise a well maintenance work since the effectiveness of the workers will be created from the effectiveness of the superiors.

Clearly, there are many aspects to be highlighted in organise a well maintenance work. The aspects must be followed to ensure the well maintain of a building. Through well work done, the maintenance company will attract more client and at the same time will ensure the success of the body.
